Workflows

Every rule the agent follows, in plain English. It does not improvise — it works only from the checklists and limits below. None of this is hidden in code.

The journey a job travels

A job is one client × one service × one period. It moves left to right, and it never skips the credit gate.

  1. Lead
    a stranger emails in
  2. Onboarding
    identity, authority, engagement
  3. Production
    collect the records
  4. Credit gate
    the fee must clear
  5. Filed
    HMRC / Companies House

Rules of engagement

The limits the agent operates under — the same on every job.

  • It routes — it never guesses

Every client email is matched to the exact job by its email thread. The agent never infers what a message is “about”. Anything it cannot match with certainty goes to a human in Triage — never down the wrong workflow.

  • It reads what actually arrived

It classifies each attachment, reads the statement period and which bank account it belongs to, and checks the full period is covered. It is not fooled by “I've attached it” when no file is present.

  • It chases specifically

When something is missing it writes a follow-up naming exactly what is outstanding and why — never a generic “we haven't heard from you”. When a reply arrives it re-reads the whole job before responding.

  • It knows where to stop

It sends routine document chases on its own. It holds for a human's approval anything that confirms work will begin, or that touches fees or filing.

  • It cannot file before the fee clears

Completeness and payment are separate gates. A job cannot be marked filed until credit control clears the fee — and pay-on-completion clients are gated the hardest.

What “done” means for each job

The checklist the agent measures every job against. Conditional items apply only when the client's facts call for them — facts Taj sets, never the agent.
